You can speed up your invoicing, track your product/services sales record and automatically or manually adjust your available stock.
The first step towards making full use of the functionality is the registration of your products and services in the "Items" menu. See below your different options and select the most suitable one.
#1) Add products/services manually
In order to create new products/services manually select Items -> Add.
The product's/service's name. This field is mandatory to create an item.
If your products have a code you wish to submit, you can type it here.
In this field you may type further details about the item. However, you can leave it blank if wish.
By clicking the arrow on the right, a drop-down list of options appears to choose from.
Enable the option if the item is for sale.
Indicative sales unit price. When entering this item in an invoice, Elorus will automatically enter the prices and calculate based on this value.
While invoicing this item, Elorus will automatically assign the selected taxes to the item line. By click on the arrow, you can choose from a selection of already existing rates or create a new one.
Enable the option if the item is purchased.
Indicative purchase unit price. When adding a bill that includes this product, Elorus will automatically enter the price and perform calculations based on this value.
While purchasing this item, Elorus will automatically assign the selected taxes to the item line. By click on the arrow, you can choose from a selection of already existing rates or create a new one.
If the item is purchased and then sold select "YES" in both fields.
Enable the option if you wish Elorus to monitor stock for this item.
If you have already created tracking categories applying to products/services, you can select it from here. First, you need select the tracking category, then one of the options and then click Save.
By clicking Add New, you can create a new tracking option on the spot, instead of visiting the tracking categories menu, as a shortcut.
#2) Bulk import
Besides creating your products/services manually in Elorus, you can also upload them massively via Excel or CSV files. This function might be useful in case you are transferring from another invoicing platform: it is very likely that you can export your products database from there, at least in one of those file formats.
Once you have your products database in excel or CSV the process is very simple - from the main menu choose "Items -> Bulk import".
Clicking on the "bulk import" button you are required to choose the file format to be imported. Then, the system will provide you with further instructions about the import procedure, as shown in the image below.
You can even download a sample excel file in order to appropriately arrange your file's columns before your first attempt. However, Elorus will try to parse and import the file regardless of that. Since the file to be uploaded is available on your computer, you can press the "Upload file" button and the bulk import will be completed successfully.
Each file you upload:
- must be up to 3MB in size
- must not contain more than 1.000 records per document.
