See how you can take advantage of elorus's tools to manage your projects.

1) Invite participants in the system (if not already in the system)

Go to “Settings-> Users&Roles” and press “Invite users”

To give your user access in time tracking and project management only, you could select the role of employee or project manager for the new user (image below).

Optionally, you could set up hourly cost default that will be used by the system to calculate project costs. (You can of course adjust user cost per project, as well). Similarly, user rate will allow you to automate your billing for the case of assignee hourly rate.

2) Create your project record

When you have taken over a new project, you can directly add it in the "Projects" section of the system.

Give access to the client to enable them to view the progress made, directly in client portal. On top of that, you could share files with them. You can take over the project on a specific, agreed price. However, you may also charge on a per hour basis, in which case time tracking will help you monitor the hours spent on a project. Organize your project in tasks and involve your team members (users).

3) Track time

You can use the live time recording elorus offers (from within the app or an extension), fill-in timesheet or add an individual time entry from the project page shortcut (image below).

Tip! Managers can access, view and edit hours tracked by team members, making sure the team performance is under control.

4) Add project expenses

Go to 'Expenses-> Add'. Associate the amount with the project it was spent for: make your selection in the related field. If you are planning to claim it from the client, make it billable.

Should you have any unpaid supplier invoices that need to be associated with your project, you may utilize "Bills->Add" instead.

5) Monitor your results

This way you may also measure your productivity: see what tasks take more time, evaluate how your teammates have contributed, amounts spent and received for the project and more (summary report, invoices, expenses).

6) Create your Invoice

When you are ready, you can invoice your project directly from its page. Start by pressing the invoice project button-the system will trace all billable time entries and expenses. The only thing left to do, is choose your preferred way of presenting the data, deselecting the ones you are not ready to invoice. Your invoice will be created seamlessly.

7) View teamwork results (per team member or total)

Tracking time in elorus enables you to calculate costs and invoice your project, but at the same time you can review team productivity, when of course user permissions allow you to. You can do this through "Team" report.

The report creates charts for weekly or monthly working hours, per project, hours or tasks, which can be viewed per team member and for the whole team. The financial outcome is also summed up on the page, both regarding costs and billable amounts.

Note: For a review and update of working hours, check out timesheet. The report is being updated each time a user manually adds a time entry and whenever the time tracker stops, creating a time time entry. Also, as any other data in elorus, your time tracking is utilized in thorough reports such us "time entries detail" or "projects report - detail" .
